CRICO Program Administrator, Patient Safety and Education in Boston, Massachusetts

The medical malpractice insurer for the Harvard Medical institutions is looking for a Program Administrator to support and participate in executing projects under the direct supervision of the Program Directors. In this position you will support all aspects of CRICO educational efforts (Continuing Professional Development, Harvard Medical School Patient Safety and Quality Fellowship) constituting 50% of their role responsibilities. The remaining 50% of the responsibilities include support of Patient Safety Program Director projects by providing comprehensive project management and assisting with day-to-day program activities from inception through implementation including assembly of project teams, assigning responsibilities, developing and executing on project plans to assure successful completion and fiscal management, by providing support in the following areas: research, editing, meeting preparation, presentation support.

In this position you will collaborate across multiple departments and work closely with stakeholders to support core activities of the projects and CRICO’s mission. As a key member of the Patient Safety department, you will oversee tracking of milestones and effectiveness metrics associated with programs and help with problem-solving and process improvement efforts. This position requires a high level of professionalism, strong interpersonal skills, and the initiative in serving the needs of the Patient Safety projects.

  • Works directly with Program Directors and Subject Matter Experts (SMEs) to successfully execute specific program goals and objectives relating to patient safety activities

  • Performs administrative and logistical tasks for the implementation of educational activities including continuing professional development and the Harvard Medical School Patient Safety and Quality Fellowship

  • Manages documentations of educational activities to meet accreditation standards and other compliance requirements

  • Responds to questions regarding continuing education requirements and inquiries

  • Assure files and documentation are complete, accurate, and confidentially maintained

  • Organizes day-to-day activities associated with each program to ensure alignment with stated objectives and adherence to program requirements

  • Manages a variety of projects of varying complexity

  • Establishes detailed project plans including milestones, timelines and specific deliverables and incorporates management strategies and analytical tools by which performance and quality can be monitored, evaluated and improved

  • Executes tasks as defined in the project plans in order to achieve project goals

  • Meets regularly with Program Directors and program staff to review progress, action items, and deliverables

  • Creates and maintains master contact lists including titles, affiliation, and administrative information

  • Develops agendas for meetings and prepares reports to discuss barriers and strategies

  • Coordinates convening sessions, consortiums, and ad hoc meetings, including: identifying meeting venue, compiling registration materials, monitoring registration activity, establishing Web-Ex, developing meeting agendas and recording meeting notes

  • Coordinates the research associated with programs, including the development of materials by performing literature searches and synthesis of information relevant to convening topic

  • Works with Program Directors and others in the preparation of talks and presentation materials including overheads, slides, PowerPoint tables and graphs

  • Deals with projects and issues that are significant, sensitive, political and confidential in nature.

  • Performs other related work as required by position

  • BA or BS degree required in health care, education or related field

  • 3+ years demonstrated experience leading and managing projects/programs of varying complexity

  • Experience in administration of continuing education programs and education activities preferred

  • Strong communication skills and organizational skills and the ability to manage multiple and changing priorities

  • Excellent organizational skills and ability to prioritize tasks and meet deadlines

  • Excellent interpersonal skills required for working with multiple stakeholders

  • Excellent judgment and ability to interpret and follow program requirements

  • Regard for HIPAA privacy/HITECH and confidential information essential

  • Ability to work independently with general supervision

  • Excellent verbal and written communications skills

  • Proficiency in applications including MS Word, Excel, Outlook, PowerPoint, web tools, SharePoint, WebEx, GoToMeeting, Video Conferencing, audio visual tools and other business software

  • Knowledge of Accreditation Council of Continuing Medical Education (ACCME) regulations desirable
