Responsibilities:

The Registrar Assistant II provides high quality customer service to all Registrar Office constituents while supporting the daily responsibilities of the Office of the Registrar. The Registrar Assistant II creates, edits and analyzes electronic student records and data to ensure compliance with federal, state and local agencies.

The following five items are required of all frontline staff in the Office of the Registrar: Serve as first level contact for all registrar office inquiries from students, faculty, alumni, staff and the general public via: email, fax, telephone or in-person. Clear and concise dissemination of information regarding academic and administrative policies is the priority of this position. Process ‘on-spot’ service requests including but not limited to transcript and standard enrollment verifications. Support in the fall, spring and summer semester pre-registration, web advisor, add drop and new student registration processes. Ensure all office of the registrar documents are scanned/indexed/coded/managed via workflow and attached to the student record.

Essential job functions of the Registrar Assistant ll: Process custom letters including: internship and licensing documents, VA certifications, verification of good standing letters, anticipated graduation date, letters of completion and administrative withdrawal letters. Process all degree verify requests from National Student Clearinghouse. Process custom and off-cycle registration i.e. bridge, proficiencies, OPE, library modules, dual degree and new move-to-student processes. Process the web check-in and attendance reconciliation processes. Manage ad hoc event and academic event requests for additional class meetings, recitations, seminars, overflow exam needs, tutor space and external functions. Responsible for review of double bookings, escalating issues to Associate Registrar. Support the academic scheduling process with section and faculty updates. Reconcile exception report requirements and manage all demographic changes to student records. Support the Fall, Spring, Summer term final exam production schedules. Process advanced placement credit and transfer credit. Regular review of web content and office forms. Perform substitutions/customizations to EVAL reports including minor assignments. Post degree petitions for May, September and December conferral dates and route issues to Associate Registrar if appropriate. Supervise work study staff. Ability to interpret legal requirements and respond to requests for confidential information. Ability to multi-task and establish priorities in a fast-paced environment. Ability to maintain a high level of accuracy in completion of work, including use of computer, filing and responding to requests for information. Excellent interpersonal and customer service skills. Accuracy, integrity, privacy and security of all academic records are the priority.

Additional responsibilities may be assigned by the Registrar.

Qualifications:

Required: Minimum of a high school diploma or GED Proficiency in MS Office Minimum one year administrative support

Desired: A bachelor’s degree Previous work in higher education setting; preferably in a registrar, financial aid or admissions office. Familiarity with Colleague SIS
