Duties & Responsibilities The Office of Financial Aid (OFA) is responsible for managing and/or processing approximately $31 million in financial aid resources for students at the Harvard T.H. Chan School of Public Health. These decentralized resources include loans, employment, stipends, scholarships, grants, and sponsorship. These funds are originated from external resources (ie: Gates, hospitals, Fulbright, World Bank, government, military), federal agencies, academic departments, university-wide and within our own organization.

The Financial Aid Coordinator reports to the Director of Financial Aid, and works closely with the Assistant Director, Systems Manager/Consultant, and the other Financial Aid Coordinator.

The Financial Aid Coordinator is in a very busy Financial Aid Office and requires regular student contact. The Financial Aid Coordinator (FAC) works under the direct supervision of the Director of Financial Aid and supports the other staff in the office. The FAC serves as the primary general information resource for current and prospective students, staff, and faculty by responding to or triaging walk-in inquiries, phone calls, and Office emails. S/he is also responsible for counseling students on topics that include budgeting, loan debt, and scholarship/stipend information.

Additional duties and responsibilities include, but are not limited to, the following:

  • Refund process which includes reviewing, researching, and processing student refund requests

  • Processing outside awards and Third Party Contracts which includes collecting and tracking billing information from third parties, entering and reconciling amounts in PowerFAIDS based on charges, and providing reports to Central

  • Coordinating all public-facing communications including the OFA bulletin board, and working with the Assistant Director to maintain the OFA website and portal (which includes frequent review for update needs, researching external student support resources, making actual updates, integration with other offices as needed and posting messages via Student News)

  • Assisting the Assistant Director with loan processing including PLUS credit loan checks

  • Acting as a member of the University Financial Aid Officers Committee

  • Verifying information and performing data entry for student financial assistance application materials

  • Handling a variety of duties related to student billing, tuition and fees including researching term bill problems

  • Assisting with financial aid event preparation

  • Assisting with financial clearance for registration and graduation in conjunction with the Registrar's Office

  • Liaising with Harvard Chan Student Services, other University Departments including University Student Financial Services, and outside agencies

  • Attending financial aid and system-related trainings/webinars and staying up to date with industry-related information (IFAP, NASFAA News,etc.)

  • Organizing and maintaining student and general office files online in Image Silo

  • Meeting with Assistant Director regularly for training and support

  • General office administration

  • Performing other related duties as required

S/he also serves as a back-up to the other Financial Aid Coordinator on the academic department funding process and processing student stipends.

Basic Qualifications - 3+ years of related work experience; a combination of education and experience may be considered.

Additional Qualifications - College degree preferred.

  • Working experience in a student-oriented environment preferred.

  • Strong technical skills, particularly in Windows, Microsoft Word, Excel, and Qualtrics/Web Publishing preferred.

Excellent interpersonal, oral, and written communication skills; team player with excellent customer service philosophy; resourceful and independent; excellent organization and time-management skills; experience managing competing tasks; experience work independently but also as part of a team; experience handling complex work in a high-pressure setting with frequent interruptions preferred.
