Job Description

MICROBIOLOGY GRADUATE ADMINISTRATOR, Biology-Microbiology Ph.D. Program (part-time, 25 hrs/wk.), to support faculty directors with the smooth operation of an interdepartmental graduate program. Will assist with all aspects of the program, including admissions and recruiting, student orientation and onboarding, tracking student progress toward degree requirements, managing student funding details, coordinating annual retreat, and maintaining all program finances. Will also coordinate admissions meetings, student interviews, circulation of applications, admission decisions, and the informing of applicants; periodically audit student progress toward fulfilling program requirements and act as adviser to students; maintain all admissions, academic, and financial documentation; reconcile all program budget accounts; gather data across multiple departments for student funding; input student payroll into Graduate Appointment Portal; track fellowship allowances; process accounts payable/receivable; certify quarterly payroll documents; maintain all program marketing and informational materials, including website and internal wiki site; and perform other duties as requested.

Job Requirements

REQUIRED: five years’ experience in an educational or administrative position, preferably in student services or advising; strong financial background; high degree of initiative; excellent organization, interpersonal, and communication skills; attention to detail; flexibility; ability to multitask, research and resolve complex problems, exercise sound and independent judgment, anticipate needs, and work both independently and as part of a team; and strong computer skills and advanced knowledge of database and spreadsheet software, preferably FileMaker and Excel. Experience with Publisher, Drupal, and Photoshop helpful. MIT experience and familiarity with WebSIS, WebGradAid, GradApply, Grade 20, Cognos, BrioQuery, Cognos, and SAP a plus.
