Duties & Responsibilities SUMMARY Reporting to the Department Administrator, Departments of Landscape Architecture and Urban Planning & Design at the Harvard Graduate School of Design, acts as primary information source and liaison with faculty, staff, and students as well as outside the department on matters related to the academic programs. Works with faculty and other staff to support projects, programs, and events including: thesis workshops, reviews, program meetings, open house, admissions, awards and fellowships, summer workshops, accreditation reporting, and course evaluations in addition to others.TYPICAL DUTIES AND RESPONSIBILITIES: -Works frequently with other departments in the School – including academic departments, admissions, and registrar. Coordinates departmental role in studio lottery, open house, orientation, commencement, as well as other ad hoc events and initiatives.-Supports the Program Director, and the Department Chair, and Department Administrator as needed. May be called upon to assist in other departments or special projects.-With Thesis Directors plans reviews (including review space and equipment, critic invitations, travel, accommodations, schedules, and catering), informs students of and enforces policies and procedures, and coordinates all other aspects of thesis for both departments.-With great attention to detail, manages and updates student records and student information databases. Keeps students informed of their progress toward degree, assigns academic advisors, answers student questions, and communicates program-related information and policies. Works with Admissions Office and Program Director to track unfulfilled pre-requisite courses.-Works closely with the Program Directors and Thesis Directors of each department to resolve student issues, update policies, and support the LA and UPD programs.-Collects and maintains accreditation materials and coordinates accreditation tasks with Department Administrator; maintains various databases and updates on the department websites, including researching appropriate program information to be posted.-Attends and organizes (as needed) Department Meetings, Student Forum representatives meetings, info-sessions, etc.-Oversees student awards application processes.-Participates in coordinating and completing tasks related to school-wide events such as studio lottery, open house, commencement, and related activities. May be called upon to assist in other Departments and in special projects.-Tracks and communicates reminders and details about important program deadlines and dates for students and faculty, including midterm warnings, curriculum declarations, preterm workshops, etc.
Basic Qualifications -High School Diploma or equivalent, required -Three or more years of related experience, preferably in an academic setting. -Proficiency with Word, Excel, and web editing.-Excellent writing/editing skills and customer service including ability to use discretion, good judgment, and work effectively with all individuals.-Organization and analytical skills, and a strong aptitude for prioritizing and multitasking under tight deadlines, amid frequent interruption.
Additional Qualifications -College degree preferred-Solid working knowledge of office processes and business policy development.-Proven interpersonal skills.-Ability to work as part of a close team of staff, sharing responsibilities when necessary to meet the needs of the department.
