Job Summary

As Departmental Academic Advisor for Mechanical and Industrial Engineering (MIE), provide academic counseling for undergraduate and graduate students. Organize and manage administrative activities of the Department’s undergraduate and graduate programs, including departmental aspects of career planning, in coordination with the Undergraduate and Graduate Directors, and under the direction of the Department Head.

Essential Functions

Academic Advisor for Undergraduate and Graduate Studies:

  • Provides entry-level, individualized and small group advising to a diverse population of students throughout the year, including new student & transfer orientation/registration periods and current student registration periods in regards to the requirements for completing the BS, MS, and PhD degrees in M&I ENG and the certificate/minor options offered by the department.

  • Responds to common issues such as registration-related matters including fulfilling University general education requirements, interpreting major and college requirements and providing guidance for dual degrees, double majors, minors, and completes course overrides and exceptions.

  • Monitors the academic progress of students and performs the academic report process.

  • Organizes information sessions for current MIE students, as well as for prospective students and students in other majors wanting to transfer into MIE, and participates in these events.

Administrative Support of the Mechanical and Industrial Engineering Department

  • Serves as the undergraduate and graduate program liaison with other UMass departments and student societies, including serving on committees in the College of Engineering. Interacts with the Graduate School, Registrar’s office and University Without Walls (UWW).

  • Manages MIE graduate student admissions and provides support to the process.

  • Coordinates academic scheduling in collaboration with the Director of Undergraduate Program.

  • Compiles, maintains and organizes statistics and course/curriculum information for the periodic department and college reports, and ABET program accreditation review in collaboration with the Directors of Undergraduate and Graduate Programs.

  • Designs, creates and administers surveys to measure outcomes, analyze results and prepare extensive reports with data results which are used by Undergraduate Committee’s preparation for the ABET program.

  • Interacts with the Graduate School, Registrar’s office and UWW on student admissions, in-person and online courses.

  • Prepares and edits course catalog entries, as well as web pages associated with the academic programs.

  • Schedule classes, classrooms, and exams in the system.

  • Prepares offer letters for graduate students and fellowship awards.

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Bachelor’s degree or higher with 2-4 years of relevant experience to include academic advising.

  • Ability to relate to students, faculty, staff and alumni including excellent oral and written communication skills.

  • Ability to maintain a working relationship with industry.

  • Ability to advise students effectively in course selections in the Mechanical and Industrial Engineering curriculum.

  • Ability to understand, explain, and consistently apply departmental policies and procedures.

  • Knowledge, ability and interest in learning new web-based database management and spreadsheet software.

Work Schedule

Hours are flexible between Monday through Friday 8:00am to 5:00pm (37.5 hours per week)
