Job Summary

The Academic Programs Manager provides leadership and direction for the Department's Graduate, Undergraduate, and Continuing Education Programs by supporting administration through managing enrollments, scheduling, data reporting and forecasting, and shepherding student progress.

Essential Functions

  • Provide diplomatic problem solving and leadership in the day-to-day administrative and operational functions of the graduate and undergrad programs for the Department. As required by the program, liaison with the Graduate School, university offices and staff for admissions, milestones, adviser and committee memberships, student defenses and other activities related to graduate student progress. Advise departmental leadership on issues of curriculum creation and revision, including processing course and curriculum changes through the Faculty Senate approval system. Attend graduate related committee meetings and provide support for committee work.

  • In collaboration with the Chief Undergraduate Advisor, develop and manage student recruitment, marketing, and communication for the Department. With department leadership, the College Director of Program Innovation, and college communication staff, develop and implement marketing, recruitment, and communication strategies to grow student majors and course enrollments, and to support retention of current students. Support alumni outreach related to academic programs and alumni student engagement, including development of student events, workshops or programs that support recruitment, retention, and academic progress.

  • Advise PhD students on academic requirements and satisfactory progress toward degree, with special attention to program requirements and rules; proactively advise students who have not completed their requirements or are not in satisfactory progress. Update student files with advising notes and progress documentation as appropriate. Alert the Graduate Program Director with student progress concerns.

  • Confer with the Chair, Undergraduate and Graduate Program Directors, and Chief Undergraduate Advisor to determine optimal course offerings each semester with available resources. Determine sequence progress and effectiveness, and make recommendations concerning changes or updates to curriculum and course descriptions. Manage the complex course, exam and review session schedules, by overseeing the timely development of the Department schedule for all undergraduate and graduate programs in light of full- and part-time faculty appointments, academic requirements and sequences, and enrollment fluctuations. Utilize the University scheduling system to schedule classes, meetings, and rooms on campus and advise the Chair about space considerations. Oversee Department submission to the University Catalog management system. Attend College and University meetings related to academic course scheduling.

  • Create, test, and improve data collection systems for scheduling. Review and analyze enrollment data for undergraduate and graduate programs. Produce reports for the Undergraduate Program Director, Graduate Program Director, and Department Chair. Contribute to the development of, and implement, procedures and guidelines for scheduling decisions, student enrollment priority policies, and administrative procedures to accomplish program objectives and goals.

Other Functions

  • Provide a broad range of administrative support for Department functions as required.

  • Perform special projects and other duties as assigned by supervisors, showing adaptability and flexibility to accomplish goals.

  • Serve in a back-up role for other Department administrative staff as appropriate and needed.

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Bachelors degree and 2 years of managerial or program administration experience, or Associates degree and 5 years of managerial or program administration experience.

  • Excellent ability to work both independently and to be part of an effective team with a highly cooperative and collaborative work style. The ability to adapt and work effectively as the situation changes.

  • Excellent interpersonal communication skills with the ability to interact effectively and to create and maintain harmonious relationships with a diverse population of staff, faculty, students and off-campus constituents.

  • Flexibility to work with initiative and willingness to take on a variety of tasks related to the successful operation and administration of the unit. Ability to work effectively under pressure and varying situations with independence, competent judgment and discretion. Extensive organizational skills and attention to detail with the ability to complete assignments in a timely manner, balancing the demands of concurrent and potentially competing projects.

  • Ability to collect data from multiple sources and create new reports that add value to program goals. Excellent computer usage skills including email, spreadsheets (including formulas), word processing, and databases.

  • Must have the ability to stay on task and work productively with a minimum of supervision. Ability to write concisely, express thoughts clearly, and develop ideas in a logical sequence.

  • Ability to investigate a situation, seek out additional information, and resolve discrepancies. Ability to think through problems, organize information, identify key factors and underlying causes to generate solutions.

  • Ability to read, understand, apply and explain rules, regulations and policies/procedures related to duties. Ability to understand and follow complex oral and written instructions and create effective and efficient work processes. Ability to exercise sound judgment and maintain confidentiality.

Preferred Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Experience with social media platforms and Drupal web systems.

  • Experience in marketing and/or event development and implementation.

Typical Office environment.

Work Schedule

  • Monday - Friday, 8:00 am to 4:00 pm.

  • May be required to work occasional nights or weekends.
