Job Summary

The Graduate Academic Programs Manager (APM) reports to the Program Director of Graduate Programs, supporting Isenberg’s Graduate & Professional Programs Office through timely and efficient administrative management of all program offerings. The APM handles all pre-admission and academic events, and schedules course-related activities across multiple degree programs and multiple sites through the use of analytics and data-driven processes, efficiently allocating limited academic resources amongst a variety of competing priorities.

The Academic Programs manager’s scope of work encompasses 3 online degree programs, 3 on-campus degree programs, 2 certificate programs and a pre-admit program. The APM works with the Program Directors handling the full life-cycle of enrollment management, including course scheduling and capacity assessment along with providing scheduled and ad hoc reports. The APM provides administrative support to faculty, assists with overall program/department planning and executes academic events for multiple degree programs.

Essential Functions

  • Plans and schedules in-person, online, hybrid and part-time graduate degree program offerings held in multiple Massachusetts’ locations during the academic year and summer ensuring pedagogical requirements of the faculty are met based on course modality and location.

  • Manages academic programs by ensuring enrollments and wait-lists do not exceed faculty teaching loads and compensation and section offering sizes based on external rankings metrics.

  • Advises program directors and advisors on section capacity, reserve sections, waitlists, overrides and student needs.

  • Collects, tracks, disseminates and presents data on all online graduate programs enrollments to all staff on a weekly basis.

  • Utilizes analytics and data-informed decision making, in order to manage the utilization of academic program sections, satellite sites and classrooms.

  • Schedules, coordinates and supports over 200 virtual events from start to finish plus post event reporting, including supervising MBA fellows and other student workers who are involved with the events.

  • Communicates and coordinates course management for all online faculty, regarding course set-up, syllabi, textbooks, and event notices. Responds to faculty inquiries about teaching, technology, program requirements and pedagogy.

  • Coordinates with the Isenberg Accreditation Director to ensure that syllabi and course content compliance occurs with all graduate course offerings.

  • Assists with faculty on-boarding processes, faculty status and setup for those who are new to online teaching.

  • Coordinates with program directors to document and fully advance the processing of securing faculty UWW compensation for teaching and supplemental duties; consistently following required protocols and the timely completion of all required forms.

  • Prepares and distributes honor society selections for all graduate programs.

Other Functions

  • Performs other duties as assigned by, or in order to support the Program Director and Associate Dean for Graduate Programs, which may include executing special projects.

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Bachelor’s degree and two (2) years of relevant professional work experience.

  • Experience employing analytics and data in decision-making processes.

  • Effective communication skills working with administrators and multiple constituencies.

  • Demonstrated ability to prioritize work assignments in a demanding environment.

  • Demonstrated problem solving skills and analytical ability.

  • Proficiency in the use of computers, including strong expertise in word processing, spreadsheet applications.

  • Demonstrated initiative and independence.

  • Experience collaborating with varied stakeholders ranging from students to deans and other professionals.

Preferred Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Administrative experience; preferably in academic administration and all University Academic Rules and Regulations.

Physical Demands/Working Conditions

  • Typical office environment.

Work Schedule

  • Monday – Friday, 8:30 a.m. – 5:00 p.m.

  • Required to work occasional nights and/or weekends.

  • Schedule varies based on critical demands of the Graduate Programs Office operation requiring flexibility and extended work hours during certain times of the year.

  • This position has the opportunity for a hybrid work schedule, which is defined by the University as an arrangement where an employee’s work is regularly performed at a location other than the campus workspace for a portion of the week. As this position falls within the Professional Staff Union, it is subject to the terms and conditions of the Professional Staff Union collective bargaining agreement.
