Description

Provide administrative and technical support for College of Arts & Sciences (CAS) academic programs, online academic content, and CAS faculty committees. Reports to Associate Dean, Administration, Operations & Planning.

Primary Responsibilities:

Management of CAS Academic Catalog and Academic Website content

  • Oversee annual revision of online CAS academic catalogs, including entering edits in CMS

  • Serve as the point-person for all CAS academic web content, working with departmental CMS users to establish a cadence of regular updates and making edits directly as needed to ensure accuracy

  • Advise CMS users on content best practices and trouble-shoot technical issues with them

  • Edit and proofread academic content written by others for website

  • Ensure that existing and new academic content is accurate, up-to-date, and appropriate for the web

  • Liaise with the Office of Marketing and Communication on CAS website needs and support/contribute to updates completed by OMC team members dedicated to CAS

  • Facilitate marketing material revisions with academic departments and the Office of Marketing and Communication to ensure accuracy and alignment with catalog and website.

    Administrative Support for CAS Faculty Governance Committees

  • Provide administrative support for CAS Committees (scheduling and room booking; preparation of proposals and supporting materials; development of agendas; facilitate virtual meetings through Zoom)

  • Serve as recorder for CAS Committees (Undergraduate Curriculum Committee, Graduate Curriculum Committee, Educational Policy Committee, Shared General Education Curriculum Committee); prepare agendas and post minutes

  • Serve as recorder for CAS Faculty Assembly; prepare agendas and post minutes

    Support for CAS Academic Programs and Initiatives

  • Coordinate Academic Program and Course Approval/Modification paperwork from start to finish through faculty governance process, including initial review of all submitted paperwork for accuracy and compliance with requirements

  • Coordinate request and acceptance of proposals and syllabi for late starter, 1-2 credit courses, and winter sessions courses

  • Manage initial review of Independent Studies in Workday Student

  • Coordinate Program Review schedule and process

  • Coordinate syllabus review process, maintenance and automation

  • Coordinate Course Evaluation and Grade Distribution Data: assist with dashboard development and administration

  • Maintain CAS Academic Programs Master List

  • Maintain CAS Faculty Site (using appropriate technology platform)

  • Assist with CAS events including Convocation, New Student Orientation, Faculty Retreat as needed

  • Other administrative duties as assigned

    Support for Educational Technology & its use by CAS faculty and staff

  • Serve as Workday Student “super user” for CAS: learn full functionality of system and provide faculty and staff support as needed

  • Create updates for CAS’ in Workday Student as required for implementation and ongoing utilization, working collaboratively with and responsively to the Workday Student Project Team

  • Serve as Canvas support for CAS faculty and staff, supplementing support by CTSE staff

  • Provide Canvas backend support for syllabus collection and assessment

  • Create and maintain Canvas courses to support non-course use of Canvas in support of Dean’s Office programs as needed (e.g. for Orientation and Faculty Development)

    Other Duties as Assigned

  • Completes other duties as assigned in support of the operations of the CAS Dean’s Office and the College of Arts & Sciences generally, as determined by the Associate Dean, Administration, Operations & Planning. Because many of the duties in this portfolio are seasonal, they do not consistently occupy the same proportion of time.

    Requirements/Qualifications:

  • Bachelor’s degree with 3+ years of relevant experience; Master’s degree preferred

  • Experience in a University or College setting, preferabl e

  • Proficiency in Microsoft Office including database management

  • Attention to detail, as demonstrated by copyediting and proofreading capabilities

  • Excellent communication (both verbal and written), time management, and interpersonal skills

  • Strong organizational skills and an ability to handle multiple shifting responsibilities in a fast-paced working environment

  • Ability to work collaboratively and effectively as a member of a cross-functional team

  • Demonstrated track record of professionalism and positivity

  • Demonstrated cross-cultural competency in a diverse workplace

  • Knowledge of College-level academic policies and faculty governance processes preferred

  • Knowledge of Sitecore, SmartCatalog , Workday Student and Zoom preferred

  • Quick learner with new technologies and systems to complete work tasks

  • Standard hours of this position are 8:45am to 4:45 pm, M-F, with the option of one remote day; however ability to keep flexible hours to support progr am , especially during intensive project periods important
