Boston University ASSISTANT DIRECTOR, OPERATIONS, Enrollment and Student Affairs in BOSTON, Massachusetts

About the Role

Boston University Office of the Vice President for Enrollment & Student Administration (ENSA) seeks an Assistant Director of Operations. The Assistant Director of Operations is responsible for programmatic and administrative support to ENSA’s senior leadership team and HR & Finance team. This role trains new administrative employees on payroll and procurement, supports with grant oversight for College Advising Corps, provides administrative support to the Student Information System (SIS) renewal project, and conducts ENSA programming to further University goals related to student recruitment, retention, and graduation. This position acts as a resource for ENSA employees regarding policies and procedures related to sourcing and procurement, payroll/timekeeping, accounts payable, and human resource transactions. The Assistant Director of Operations handles escalated calls and e-mails from students, parents, and other constituents. The role reports to Executive Assistant to the Vice President & Associate Provost for Enrollment & Student Administration.

The Assistant Director of Operations works closely with senior leadership within ENSA, key campus partners including the Dean of Students office and central Human Resources, and other executive assistants within the university.

The Assistant Director’s primary duties include:

  • Managing the administration of grant efforts for the unit

  • Monitoring and reporting on the status of the OFA budget;

  • Assisting ENSA staff regarding weekly student payroll, and providing primary oversight for weekly student payroll;

  • Assisting the Executive Assistant to the VP in handling the reporting and resolution of unit/building facilities, custodial, maintenance, office furnishing, and equipment needs;

  • Providing direct executive support in composing and editing correspondence, communications, presentations, and reports to students, faculty, administration, and external entities; maintenance of confidential records; miscellaneous research assignments; calendar maintenance; scheduling, planning and travel planning;

  • Supporting general communications, including updates to presentations, websites, and other venues;

  • Conducting, designing, and analyzing survey-based research and other forms of research and;

  • Managing the SIS Renewal Program calendar and email inbox responding to related correspondence and collecting and disseminates information to appropriate parties.

About the Candidate

A Bachelor’s degree and at least 3-5 years of experience are required for this position. We are seeking a candidate who:
