Job Description

Reporting to the Executive Director for University Advancement and in partnership with the Senior Vice President, this role supports the strategy and execution of the SVP’s constituent engagement activities while also overseeing the workflow of the Office of the Senior Vice President.

The following are the role’s primary areas of focus:

Office of the SVP Management & Supervision 70%

Oversees two staff assistants and one or two student workers, providing direct and thoughtful supervision and mentorship, while ensuring that they are executing their specific duties at the highest possible levels.

Ensures a smooth office operation, which involves anticipating, analyzing and fulfilling business needs and leading regular meetings of the office team.

Constituent Engagement 20%

Proposes, manages & tracks all SVP donor outreach, suggesting opportunities for unplanned touchpoints in the form of calls, emails and letters as well as more routine donor contact such as gift acknowledgements.

Manages all SVP contact follow up, including Spark entries, review & execution of post-appointment action item & correspondence.

Drafts all SVP correspondence and scripts for SVP talks

Drafts SVP talking points for meetings and events

Oversees the preparation of briefing material for the SVP’s external meetings

Management of the SVP’s ghost email account, deployed judiciously for external and internal communication from the SVP

Presidential Advancement Activities 10%

Fields requests from advancement colleagues for presidential time and advances requests to the Executive Director for review.

Manages the presidential briefing process for donor visits and event appearances.

Ensures that visit reports following presidential meetings are downloaded and distributed as appropriate.

Full-Time Equivalent Hiring Range: $min MRP to $MRP; salary commensurate with relevant experience.

Full-Time Equivalent Hiring Range: $59,500 to $74,400; salary commensurate with relevant experience.

This position requires a Bachelor’s Degree or an equivalent combination of education and experience, and a minimum of five years of increasingly responsible administrative and executive assistance experience in effectively managing executive schedules, accurately taking the minutes of high-level, fast-paced meetings producing professional transcription; experienced in communicating and interacting with high-level donors and prospective donors, volunteers and Trustees in person, by email and by telephone exhibiting excellent spoken, written and non-verbal communications skills. Working knowledge of PeopleSoft Financials to originate expense reports and reconcile P-Card purchases with correct budget account codes preferred. Familiarity with Blackbaud CRM fundraising software. Proficiency with setting and managing complicated Zoom meetings.

Must have flexibility to work extended weekday hours. Some evening and weekend work may be necessary at times due to the number of events and meetings that take place in the evening and weekends that may require assistance with preparation and execution.
