Job Description

The Office of Finance and Grants Administration (OFGA) provides a centralized, specialized financial, and grants management service throughout the School of Medicine. It currently oversees nine departments within the School of Medicine totaling over $50,000,000 in current annual balance. The Financial and Grants Administrator (FGA), reporting directly to the Director of Finance, is responsible for:

  • Financial and administrative management of the assigned grant portfolio

  • Interprets award terms/conditions and University policies

  • Monitors and analyzes revenue and expenditures within budget limits and timelines

  • Maintains tracking and monitoring system to ensure compliance of expenditures independently develops budgets for renewals and financial reports

  • Interprets grant parameters and advising faculty and staff on allowable costs and guidelines

  • Meet monthly with the principal investigators(PI)

  • Work with the Office of Sponsored Programs to prepare and submit financial reports to sponsor

  • Researches payment discrepancies prepare multiple complex and varied financial reports, notifies PI and supervisor about funding shortfalls and plan for contingencies

  • The FGA will respond to a variety of financial and administrative inquiries as they arise and will work closely with other offices to ensure all problems are addressed in a timely manner

Additional duties and responsibilities include, but are not limited to, the following:

  • Working with the Director of Finance in monitoring and reconciling post-award expenditures/invoices

  • Following up with any problems discovered and resolving with appropriate actions

  • Monitoring post-award budgetary expenses for his/her portfolio to ensure compliance in accordance with granting agencies and University guidelines

  • Ensuring expenditures are allowable and allocated to correct funds

  • Attending meetings, trainings and workshops to stay current on job-related regulations and policies

  • Hiring faculty, staff and students responsibilities

  • Backup other departments as needed

  • Other duties as assigned by the Director

Required Skills

  • Bachelor Degree

  • 3-5 years of experience required
