As a Human Resources Coordinator, you will play a pivotal role in shaping the employee experience at InterContinental® Boston, ensuring that our world-class hospitality extends beyond our guests to our dedicated team. In this role, you will support the day-to-day Human Resources operations with efficiency, discretion, and warmth, contributing to our culture of excellence.

Employee Lifecycle & Human Resources Coordinator

ESSENTIAL DUTIES AND RESPONSIBILITIES

The Employee Lifecycle & Human Resources Coordinator plays an integral role in curating a seamless, world-class employee experience, ensuring that each phase of the employee journey is managed with precision, discretion, and care.

Talent Experience & Employee Relations

  • Serve as the primary point of contact for employees, offering expert guidance on employment policies, procedures, payroll, and benefits.

  • Ensure swift and personalized resolutions to employee inquiries, escalating complex matters with discretion as needed.

  • Coordinate the full employee lifecycle , from onboarding and orientation to engagement and development, ensuring a seamless and enriching workplace experience.

  • Lead and facilitate elegantly curated orientation experiences for new team members, ensuring they are welcomed in a manner reflective of our brand’s prestige.

Talent Acquisition & Recruitment Excellence

  • Support and elevate the recruitment process , including sourcing, screening, and selecting top-tier talent for entry-level and specialist positions.

  • Oversee luxury-standard background verifications , employment reference checks, and meticulous processing of all hiring documentation.

  • Maintain the integrity of talent records , ensuring accuracy in job postings, applications, resumes, and employee profiles.

  • Ensure compliance with company hiring standards and employment laws, upholding our commitment to ethical and equitable hiring practices.

Employee Engagement & Well-Being

  • Coordinate wellness programs, and team-building events that reflect the brand’s prestige and ethos.

  • Administer and communicate exclusive employee benefits programs, ensuring clarity, accessibility, and superior service.

  • Partner with department to foster a culture of appreciation through specialized recognition programs, service awards, and milestone celebrations.

Human Capital Operations & Compliance

  • Oversee meticulous recordkeeping, ensuring personnel files, leave of absence documentation, and compliance records are maintained to the highest standard.

  • Manage and update compliance records, including OSHA 300 logs, workers’ compensation claims, and employment documentation.

  • Handle unemployment claims with discretion, ensuring documentation is thorough and legal representation is impeccably prepared.

  • Ensure full compliance with employment laws, regulatory guidelines, and corporate policies, safeguarding the integrity of our workforce.

  • Manage and track all employee leave requests, including FMLA, PFML, STD, ensuring compliance with company policies and legal regulations while providing a smooth process for employees.

Executive Support & Office Operations

  • Curate and manage an organized, refined work environment, ensuring the HR office reflects the elegance of our hospitality brand.

  • Serve as the executive liaison for HR leadership, including calendar management, correspondence, and confidential reporting.

  • Coordinate premium corporate initiatives, including annual merit reviews, incentive programs, benefits enrollment, and engagement surveys.

  • Oversee the procurement of premium office supplies and services, ensuring seamless operations within the HR department.

Collaboration & Stakeholder Engagement

  • Act as a trusted partner to department heads, corporate HR, legal teams, and executive leadership to drive strategic HR initiatives.

  • Maintain external relationships with candidates, vendors, regulatory agencies, and luxury brand partners to ensure compliance and operational excellence.

  • Partner with professional organizations and community leaders to uphold corporate social responsibility and employer brand prestige.

Other Responsibilities

  • Perform additional responsibilities as assigned, always maintaining the highest level of professionalism, discretion, and attention to detail.

QUALIFICATIONS & REQUIREMENTS Required:

  • High school diploma or equivalent; 1-2 years of experience in Human Resources or Administrative Support required. Some college coursework preferred.

  • Fluent in English; proficiency in additional languages is a plus.

  • Strong customer service and communication skills with the ability to effectively interact across all levels of the organization.

  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel); experience with ADP/Timesaver is preferred.

  • Typing speed of at least 45 WPM.

  • Strong confidentiality management skills to handle sensitive information with discretion.

  • Mathematical proficiency including basic math, percentages, and variance calculations.

  • Ability to perform the following physical requirements:✔ Carrying or lifting up to 25 lbs.✔ Remaining stationary for extended periods of time.✔ Standing and moving around the facility as needed.✔ Handling objects, files, training materials, and equipment.✔ Using a keyboard and computer systems for generating reports and documents.

Preferred:

  • Luxury hotel experience within a high-end hospitality brand is strongly preferred.

  • Prior experience in a unionized hotel setting is a plus.
