Division of Operations: As the largest team within the DCR structure, the Division of Operations is the cornerstone of the agency. Home to Park Operations, Universal Access programming, Park and State House Rangers, Fleet, and Interpretive programming, the Division of Operations is a main driver the agency’s core principles of outdoor recreation for all and creating future stewards. Through visitor engagement, educational programming, and lots of behind-the-scenes work, Operations keeps the network of state parks open, accessible, and welcoming for all. Job Opening: The Department of Conservation and Recreation is seeking candidates for an Office Support Specialist II – Human Resources in the Boston Region Headquarters. DUTIES: The OSS II for Human Resource support provides the technical support required to ensure Seasonal Staff is hired, on-boarded, and off-boarded according to Human Resources and DCR guidelines as well as provides administrative support for seasonal employees within the respective DCR region. This Position also provides administrative support to the Regional Administrative Coordinator, regional manager and other supervisory staff as it relates to HR and payroll. Duties 1. Assist with Seasonal hiring paperwork including; meeting candidates, verifying documentation needed for I-9 and CORI. 2. Ensure that all paperwork is signed and verified 3. Prepare data sheet for all STS positions and LTS position who have not onboarded through Mass Careers which contains position information and ensure that appropriate documentation for direct deposit is attached. 4. Send data sheets to DCR roster mailbox for access by EEA HR utilizing existing processes or new processes for transmittal of supporting documentation to HR. 5. Assist with preparation of seasonal roster for summer and winter 6. Assist with preparation of child requisitions for summer and winter seasonal positions 7. Assist with candidate management and selection 8. Send completed hiring packages to EEA HR through mail and/or digitally. 9. Assist with the development of seasonal placement letters after recall has completed. 10 Prepare and submit seasonal hiring recommendation forms for vacant positions., 11. Collect and enter time into SSTA for short-term seasonal hires ensuring accuracy and completeness. 12. Prepare reports as needed and requested. 13. Work with EEA HR to resolve issues in a timely manner. 14. Collects EPRS and Employee Performance Review Forms 15. Collects training confirmation documents for seasonals as needed as well as seasonal handbook acknowledgements 16. Knowledgeable and proficient working in the state's Human Resources Department's platforms - MassCareers, HRCMS and SSTA. 17. Other duties as assigned. Preferred Qualifications: Ability to communicate effectively Ability to write concisely, express thoughts clearly and develop ideas in a logical sequence. Ability to use proper grammar, punctuation and spelling Ability to make recommendations Ability to multitask and prioritize Ability to prepare documents and reports accurately Ability to assist customers of diverse backgrounds Ability to follow guidelines and procedures Knowledge of software applications such as desktop publishing, project management, spreadsheets and data management. Ability to work independently and in teams Organizational skills Based on assignment, the ability to supervise and assign work effectively First consideration will be given to those applicants that apply within the first 14 days. Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in administrative work experience or (B) any equivalent combination of the required experience and the substitutions below: Substitutions: I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the required experience. II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience. Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
