Reports To: Senior Director of Adult Education Position Overview: The Operations Coordinator resides in the Department of Adult Education. The mission of BPS Adult Ed is to provide a variety of flexible programs to ensure that Boston residents have access to quality instruction, job training, and college and career advising. We honor the diversity of our students by promoting equity and inclusion. BPS Adult Ed annually serves about 800 adult students who want to learn English, participate in vocational training, improve their academic level, and/or graduate from high school. Day and evening, as well as in-person, online, and virtual programs, are offered. The Operations Coordinator is responsible for the day-to-day tasks that ensure the smooth operation of day and evening programs. In addition, the Operations Coordinator will foster partnerships and collaboration with families, community members, and organizations. As an essential member of the leadership team, the Operations Coordinator works closely with the school leaders on all school functions, including operational and instructional activities, safety procedures, and restorative justice practices. The Operations Coordinator will report to the Senior Director and will work a flexible schedule but should be available on Tuesdays and Thursdays from 2:30 PM to 9:30 PM on days BCAHS is in session. The ideal candidate for this position will demonstrate excellent interpersonal and communication skills, both verbal and written, have excellent judgment, and have the ability to manage a fast-paced and multi-faceted workload with attention to detail. This individual should be a self-starter with the ability to prioritize and execute multiple tasks and projects. The Operations Coordinator will be expected to maintain confidentiality and exhibit discretion and professionalism in all activities. KEY RESPONSIBILITIES In conjunction with the leadership team, ensure smooth daily operations, schedule, and transitions and support a joyful, equitable learning environment. Coordinate all department operations, such as building usage, submitting work orders for building repairs, budget monitoring, and purchasing books and supplies to ensure appropriate academic programs. Collaborate between departments to ensure efficient operations, such as following up with facilities, public safety, and other related departments. Create systems for improved communication between staff and students, teachers and administrators, and daytime and evening programs. Drive the creation and maintenance of school operational systems that support high-quality instruction and student engagement. Conduct regular school culture walkthroughs to help staff maintain high standards of excellence. Respond to operational requests from staff, including maintenance of supply closet and staff supply requests. Creates and manages an inventory of the school’s curricular materials and technology. Serves as an active participant on the department’s leadership team. Assist and Support Support coordination of ACCESS, MCAS, and school-wide testing. Support with morning and evening coverage plans when teachers are absent. Assist with summer programming and classes. Assist with implementing policies and programs to recruit, retain and promote students. Assist in establishing and maintaining the goals, philosophy, and policies of BPS Adult Education. Assist with registration, assessment, placement, and student orientation sessions for day and evening programs. Assist in the planning and coordinating of department events, such as graduation student field trips, guest speakers, and open houses. Perform other miscellaneous and BPS Adult Education duties as deemed appropriate by the Senior Director. General Responsibilities Participate in department meetings and appropriate professional development activities. Establish a structured, positive, and inspiring school culture. Collaborate with colleagues to ensure a rigorous, joyful, and safe environment for students and staff. Work collaboratively with school leaders to communicate effectively with teachers, staff, and students. Assist in establishing and maintaining the goals, philosophy, and policies of BPS Adult Education. Communicate effectively with other counselors, teachers, and program administrator(s) on student and program issues. Qualifications - Required: Associate's Degree or Bachelor's Degree recommended Experience with SIS and G-Suite. Strong commitment to the Department of Adult Education's mission, values, and educational model. Experience working with the adult learner population as well as the 16 - 21-year-old adult population. Knowledge of local and state graduation requirements. Ability to read transcripts and determine transfer credits. Possess a flexible and growth mindset that allows them to adjust to the changing demands of teaching in an adult education setting. Excellent computer skills, including MS Office suite, Google Apps, and video conferencing, and ability to learn new technology. Ability to create meaningful relationships with a diverse student population. Ability to manage and prioritize tasks across multiple projects. Ability to interpret and present data for internal and external audiences. Attention to detail to ensure that accurate records are maintained and shared. Ability to create meaningful relationships with a diverse student population. Excellent interpersonal skills; ability to effectively collaborate with students, teachers, and administrators. Excellent organizational, time management, and oral and written communication skills in English. A deeply held and unyielding belief in the overarching mission of public education and opportunities for adult learners. Two years of relevant successful experience in a leadership position. Current authorization to work in the United States. An understanding of and commitment to gain a greater understanding of what is necessary for an urban school system to enjoy a continuous improvement in an increasingly complex and competitive environment. Qualifications - Preferred: BPS values linguistic diversity and believes that candidates who speak another language bring added value to the classroom, school, and district culture and diversity. BPS is particularly interested in candidates who are fluent in one of BPS' official languages: Spanish, Creole (Cape Verdean), Creole (Haitian), Chinese, Vietnamese, Portuguese, & Somali. Familiarity with Boston and Boston Public Schools DESE Administrative Licenses. Terms: Managerial, B31.
