Knowledge of risk management, HR policies and advanced degree in related field a plus.Must be proficient with Microsoft Office, especially Excel; must possess excellent quantitative, analytical skills, desire and aptitude to learn complex computer applications; must be able to contribute to the design and implementation of new systems; ability to make sound, and independent decisions are critical. Prior experience managing complex and confidential materials, managing competing priorities and deadlines effectively, and maintaining organizational systems. Must be able to work well with a diverse population using tact and discretion. Familiarity with or interest in theological and/or religious studies is helpful.Additional Information:

The Office for Academic Affairs (OAA) is looking for an experienced member of the leadership team who will supervise the faculty support staff which includes five faculty assistants (including two FA team leads) ,with particular responsibility for the faculty (regular and adjunct) and research assistant payroll as well as the search office activity for Harvard Divinity School.
Duties and Responsibilities:
Reporting to the Assistant Dean for Faculty and Academic Affairs, prepares, reviews, and oversees the budgets of OAA, the Dean’s Office, and the Academic Dean’s office. Produces monthly financial reports and tracks spending against approved budgets; manages account reconciliation and maintains financial documentation. Coordinates the faculty research allocations and semi-annual special payments and approves faculty reimbursements prepared by the faculty support group.
Supervises the FA team leads and faculty assistants including approving weekly payroll, coordinating regular department meetings as well as training opportunities and special presentations. Has final responsibility for the performance planning and review of the faculty support group. Serves as a resource for administrative staff supporting programs.
Analyzes policy and procedures in academic administration with the Assistant Dean for Faculty and Academic Affairs to ensure compliance with University policies and reporting processes. Supports the Assistant Dean on academic and financial data requests related to OAA including accreditation, AA/EEO, faculty activities, faculty financial conflict of interest, and other reports as requested. Maintains faculty personnel records. On-boards faculty members (permanent, visiting and adjunct), which includes, but is not limited to, assisting with relocation, faculty appointment letters, faculty salary and special payments (PeopleSoft), office space and IT needs. The Department Manager also handles faculty visa matters, and approves weekly payroll for students supported by faculty research allocation accounts.
Provides administrative assistance for Voting Faculty and Internal Appointments Committee meetings. Assists faculty with planning conferences, lectures, and symposia, and is part of the planning team for the annual Convocation, Commencement and the major named lectures.
In collaboration with faculty search committees, manages faculty searches; coordinates complex, confidential and time-sensitive faculty review and reappointment proceedings. Supervises the search office assistant. Works with key stakeholders to coordinate ad hoc and review appointment meetings; oversees the coordination of search office meetings and candidate visits.
Performs other duties as assigned.
