  • Bachelor’s degree preferred, with a minimum of four to five years of work experience, preferably in an academic/fundraising setting.

  • Excellent speaking, writing, editing, proofreading, research, and client-service skills required.

  • Computer literacy required. Knowledge of Excel required.

Additional Qualifications and Skills:

  • Must have strong interpersonal and communication skills, and an ability to establish and promote good working relationships with prospects/donors, alumni, colleagues, faculty, and administrators. Direct experience engaging with these audiences a plus.

  • Must be able to evaluate problems accurately and display good, sound, and confidential judgment.

  • Must be able to listen carefully, synthesize information correctly and concisely, as well as to influence and persuade others.

  • Must be highly organized and detail oriented. Must be motivated to learn and flexible to change. Proven ability to quickly learn complex information and processes.

  • Must be able to work with minimal supervision in a fast-paced, deadline-driven environment. Must be able to prioritize and handle multiple and disparate projects at once.

  • Knowledge of Advance and WorkFront a plus.

  • Ability to maintain a high degree of confidentiality and responsibility regarding information related to University business and prospect information.

  • Must have strong, accurate skills working with finances, budgets, or other math.

  • Experience and familiarity with gift terms, gift acceptance and gift policy a plus.

Additional Information:This position requires a 3 month orientation and review period.

  • Under the direction of the Senior Associate Director, manage the development and approval of FAS gift documentation that adhere to gift policies, legal requirements, and other FAS and University policies; that provides funding for priorities established by the FAS Dean; and that establishes donor expectations appropriate to what the FAS and University can deliver.

  • Under the direction of the Senior Associate Director, work with various stakeholders to develop appropriate terms for proposed gifts. Evaluate the impact of various policies, practices, and legal requirements on potential gifts. Analyze special cases and propose solutions, while considering the criteria of the stakeholders concerned, policies and constraints, and best practices.

  • Liaise with various internal stakeholders involved in approving, formalizing, and managing gifts, including Communications and Donor Relations, Faculty Affairs and Development Planning, Alumni and Donor Services, Development Operations, FAS Finance, academic departments and centers, etc. Recognize when to consult other colleagues concerning potential gifts. As appropriate, discuss and negotiate gift documentation and policy with donors or external stakeholders.

  • Provide advice and counsel to development officers, FAS faculty, and others in navigating the various processes and policies involved with making gifts and establishing funds. Provide guidance to development officers who may be required to prepare materials for University Gift Policy Committee review.

  • Be proactive in establishing process, procedure, and training. Maintain templates for gift terms, naming agreements, pledge agreements, memorandums of understanding, etc. Compile and track information, oversee maintenance of gift terms database and electronic filing systems. Support formal and informal training for colleagues.

  • Research questions regarding FAS-based issues. Be proactive in procuring information and producing documents that could assist development officers and other colleagues.

  • Attend required FAS training sessions, meetings, and events. Attend other training sessions, conferences, and workshops as necessary.

  • As required, assist the Senior Associate Director, Academic and Development Coordination in strategic planning and the development of policy.

  • As a member of the ADC team, research and draft compelling and accurate materials that are consistent with the FAS dean’s core messages and priorities. Ensure materials are accurate, appropriate in tone, and available to fundraisers.

  • Work on special projects as assigned, including coordination of ad-hoc committees and responsibility for evaluative projects.

We are seeking an Assistant Director, Academic & Development Coordination on the Faculty of Arts and Sciences Development team within Harvard Alumni Affairs and Development.

Alumni Affairs and Development (AA&D) comprises the University Development Office (UDO), Faculty of Arts and Sciences (FAS) Development, AA&D Resources, and the Harvard Alumni Association (HAA). There is a unique relationship between the University and the FAS fundraising operations, resulting from a long history in which University fundraising ultimately grew out of College fundraising.

Faculty of Arts and Sciences (FAS) Development

FAS Development is responsible for the fundraising efforts supporting the Faculty of Arts and Sciences, including Harvard College, the Harvard John A. Paulson School of Engineering and Applied Sciences, and the Graduate School of Arts and Sciences. FAS Development staff work with Harvard College donors, alumni, parents, and friends who provide critical support for the FAS and often for other parts of the University.

This full-time exempt position works closely with a wide range of stakeholders to draft, review, and finalize FAS gift documentation needed to close gifts and to support FAS gift administration. This position works with fundraisers, administrators, and faculty to answer inquiries and ensure adherence to University gift policies at all phases of the gift cycle. As a member of the ADC team, the position reports to the Senior Associate Director, Academic and Development Coordination. The person in this role must be able to evaluate problems accurately and display good, sound, and confidential judgment. They must have strong interpersonal and communication skills, and an ability to establish and promote good working relationships other members of the ADC team and stakeholders throughout Alumni Affairs & Development, the Faculty of Arts and Sciences, and the University, including prospects/donors, colleagues, faculty, and administrators. Direct experience engaging with these audiences is a plus.
