Bachelor’s Degree. 5+ years of progressive University administrative management. A minimum of three-five years of direct supervisory experience required. Experience and facility working with an electronic health record and reports/metrics. Experience working in, organizing, and training/leading sessions for a clinic audience is required.

Additional Qualifications and Skills:

Previous experience as a Practice Manager, Dental Assistant, or Dental Hygienist strongly preferred. Current Proficiency in MS Office (namely: Word, Excel, Outlook, and PowerPoint) is strongly preferred. Solid writing, communication, and presentation skills are essential. Demonstrated understanding of complex operational and execution of day-to-day tasks. Must keep abreast of ongoing local, state and federal insurance guidelines. Strong attention to customer/patient satisfaction and commitment to generating solutions and ideas towards building long-term and effective internal and external relationships. Demonstrate maturity, tact, discretion, and confidence in resolving issues, according to policies and procedures and involving other members of the Harvard Dental Center staff as needed. Participate in local offsite conferences and/or business meetings as required. Must have flexibility with schedule, and some evening, weekend and holiday work hours may be required. DANB and Massachusetts BORID with Current Radiology Certification preferred.

This position is responsible for but not limited to the following:

Dental Practice Management: Prepare and monitor daily assignments for clinical staff. Manage by walking around (MBWA). Ensure that operatories are functioning at an optimum level (i.e. dental operatories, heating/cooling, janitorial issues, instrumentation) and troubleshoots independently or coordinates with others at HDC and with Facilities RE the maintenance and repair of equipment and operatories. Ensure check-in, check-out and collections occur, and the front desk is always adequately staffed. Reallocate dental assistant and other staff assignments in real-time (e.g. if provider not utilizing full session or if a provider cancels). Handle one-off and simple axiUm scheduling requests as needed. Carefully manage (from start to finish) non-Dr. Harvard emergency situations on clinic floors, including sharps and needlestick accidents—coordinating with all parties including patients and HUHS. Ensure the overall team handles collections, scheduling, chair allocations, treatment planning, and other practice management items in line with goals. 30%

Resource Management: Supervise 19 non-exempt staff members. Recruit, screen, hire, orient, and train staff; regularly evaluate employee performance and provide ongoing guidance and feedback; work with Human Resources and the HUCTW bargaining unit in reviewing, counseling, and conducting progressive disciplining as appropriate. Make self highly visible and available on a daily basis—observing and adjusting staffing resources (if needed) to ensure needs are met. Engage and involve staff in clinical efforts and projects. Work closely with all members of management to address staff coverage needs and activities. Monitors/ensures direct reports stay on-track with their DANB and BORID certifications. 30%

Operational Awareness/Strategy: Develop and manage an environment that fosters teamwork and provides excellent customer service, which includes interacting with, staff and faculty on various operational and educational matters, and patients; manage administrative activities, including protocols involving clinical care, dress code, emergency process, and guidelines for behavior. Update oneself with University, state, and federal regulatory agencies relating to oral health facilities. 15%

Initiative/Communication/Strategy: Take initiative and communicate relevant information to a variety of stakeholders. Professionally and appropriately disseminates need-to-know information to staff and other parties. Create and produce messages to send to the AGE and FGP community RE clinical operations. Lead/manage assigned projects from start to finish. 15%

Clinical Care Issues: Directly resolve patient care and chair-side issues that arise. If unable to resolve, follow-up with appropriate person. Ensure that supervising faculty, students, practicing providers, and dental assistants start and finish clinical activities on time. 5%

Position Summary:

The position will be responsible for managing the Harvard Dental Center Longwood (HDCL) first floor, which consists of the Advanced Graduate (AG) and Faculty Group (FGP) practices, overseeing the day-to-day operations of that floor. This position will directly manage all clinical staff on the HDCL first floor (five Hygienists, three PSLs, 10 Dental Assistants, and one Practice/Scheduling Coordinator). This position will serve as the managerial resource for the onsite provider team of the first floor. In total, this position manages 19 non-exempt staff. This role also serves on a variety of HSDM committees, representing the HDCL angle primarily. Serve as a back-up to others on the management team, as needed.
