The Division of Continuing Education (DCE) comprises several entities including the Harvard Extension School, the Harvard Summer School, the Harvard Professional Development Programs and the Harvard Institute for Learning in Retirement. For more than a century, Harvard Extension School has made Harvard faculty and teaching accessible to a diverse community of local, national, and international students. Harvard Extension School enrolls approximately 13,000 students per year in approximately 65 liberal arts and professional fields. More than 650 open enrollments online and classroom courses are offered at affordable prices to our communities across the world. Harvard Summer School offers approximately 300 courses on the Harvard Campus to 6,000 secondary school, college and adult learners and more than 30 international study abroad programs for up to 600 students each summer. The Division also includes the Harvard Institute for Learning in Retirement with approximately 550 active members and Harvard Professional Development Programs offering about 60 two-day, noncredit courses annually.

Since our programs begin before 9 am and end at 6 pm, hours vary depending upon the program delivery needs. Assigned hours allow for set-up for class or break down after class. That said, M-F, hours assigned may be 7 am to 3 pm, 11 am to 7 pm, or 9 am to 5 pm depending on need.
Job Function:General Administration Duties & Responsibilities:
The Program Delivery Coordinator, a member of the Harvard Professional Development Programs team, supports the pre-planning and delivery of the Division of Continuing Education’s (DCE) non-credit, professional development programs.
The Professional Development Programs team supports and delivers over 80 programs each year while working with more than 30 different instructors.
This position will have responsibility for conveying the DCE brand by providing excellent customer service and through keen attention to detail in producing flawless program materials. Duties include preparation of program materials and on-site support during program sessions, and involves significant interaction with an international audience of business people on Harvard's campus. This person will be in contact with instructors and other units around the University. Reports to the Director of Operations, Harvard Professional Development Programs.
Event Planning and Logistics
Prepares and assembles program materials for participants.
Helps with set-up and program delivery on day-of event.
Maintains accurate and organized inventory of program-related collateral, ensuring adequate availability for program lead-up and program days.
Supports the program for duration of event.
Runs triage as necessary during event; anticipates and supports participant needs
May supervise temporary staff
Balances providing high-quality participant-facing activities along with myriad administrative tasks
Contributes to process and business improvement projects by observing and evaluating existing processes, anticipating and supporting client and faculty needs, and continuously seeking efficiency.
Effectively communicates with participants (special requests, registration changes) via email, phone, and during programs.
Writes clear, concise, and professional responses to participants’ inquiries
Manages program registrations
Works to enrich participant experiences through all activities
Delivers welcome messages to new participants
