Department:Postgraduate Medical EducationPre-Employment Screening:Identity Schedule:35 hrs. per weekJob Function:General Administration Duties & Responsibilities:Under the direction of the Senior Education Manager for the office of Postgraduate Medical Education (PGME), he/she will work with Education Managers on the curriculum and student management of assigned blended learning programs and assist with all aspects of curriculum production and student management.

Main areas of responsibility:

• Work with Education Managers to manage 3, 6- or 12-month longitudinal, blended-learning (online and in-person) programs with an international enrollment of up to 75 - 100 students that include three multi-day workshops (in London, Boston, and other program sites) and either 26 or 45 weeks of ongoing, online coursework, webinars, and tutorials.

• Serves as primary course coordinator, planning and scheduling webinars, coordinating content with the Education Team, and as acting as a liaison for internal and external constituencies, including students, faculty, teaching assistants, and administration.

• Work with Business Operations to manage the workshop curriculum and materials production for new and existing programs.

Job Duties:

Enrollment Management: work with the Admissions Coordinator in the daily and long-term planning of admissions and registration for assigned programs.

Works with Education Managers and program faculty to update the course curriculum, including online and workshops. Tracks development of agendas and educational materials for the workshops; distributes materials to participants and advises participants regarding materials they must purchase personally. Facilitates delivery of curriculum to workshop participants and oversees coordination with on-site hosts and marketing and events manager to ensure success.

Maintains online library and scheduling of curriculum materials including assignments; coordinates preparation of online course material and preparing materials for uploading to the courses' websites.

Manages/process for payment(s) of fees for services rendered (honoraria, payroll, temp, etc.) and prepares the necessary paperwork for payment on a timely basis.

Modify/update online curriculum as needed throughout course. Prepares materials and ensures they are available to all students and faculty on a timely basis. Manages systems for monitoring student progress and engagement; prepares and distributes students' certificates upon successful completion of the program in coordination with logistics.

Interacts with students from various sites globally, answering and/or triaging questions, coordinating requests for telephone meetings and/or Skype meetings.

Coordinates regular webinars/web-based office hours for students in various time zones with faculty in Boston; ensures that all technical questions are answered and that each student is able to access webinars and office hours; ensures that webinars are recorded and uploaded to the Learning Management System. Serves as backup webinar facilitator.

Prepares, distributes, and compiles online satisfaction and learning surveys for each workshop and the courses in general. Assists in identifying key areas for improvement and recommends appropriate changes.

Serves as primary student contact after program acceptance. Ensures continuity of experiences; meet with international students to troubleshoot/advise on program questions; prepares letters of enrollment, workshop attendance, verification letters for students;

Work with Education Team to ensure that all webinars are staffed, on-site workshops are staffed, and the Associate Director, Executive Director, and Senior Education Manager are prepared for workshops.
