  • Experience building a team and navigating through change.

  • Exceptional attention to detail, discretion, superior judgment, professionalism, creativity, flexibility, and resourcefulness.

  • Exhibit highest standards of quality and customer service.

  • Familiarity with alumni relations/development field and University setting desired.

  • Ability to make decisions under pressure and adapt actions accordingly.

  • Ability to integrate feedback into work product. Must have the ability to be confidential and handle confidential information.

  • Ability to develop and maintain positive rapport with a variety of senior administrators, fundraisers, staff, major donors, alumni, and vendors.

Additional Information: This position requires a 3 month orientation and review period.

  • Leads and inspires a team of event professionals in the planning and execution of high-quality events by providing staff supervision and coaching to current team members, in addition to interviewing, hiring, and onboarding new staff. Establishes and monitors individual staff goals, providing performance feedback and coaching, conducting check-ins, supporting professional development, mentoring, and overall performance management.

  • Creates and leads the vision and infrastructure necessary for event planning and execution in partnership with and responsive to the programmatic partners (FAS, HAA, UDO, etc.) across AA&D and the University.

  • Fosters key partnerships with AA&D and University-wide business planning partners to ensure partnership, collaboration, efficiency, and alignment. Actively participates in yearly and quarterly business partner planning meetings.

  • Contributes to AA&D strategic planning and translates plan into tactics.

  • Upholds AA&D’s core values of respect, integrity, trust, inclusion, collaboration, and open communication and promotes the diversity of perspectives and ideas.

  • Develops and manages key performance indicators for the event team as well as the impact of events to AA&D activity. Leverages and drives data visualization and analytics to support event activity.

  • Directs and operates the Events team to serve the business planning partners in accordance to mutually agreed upon levels of service and business partner engagement with clearly articulated roles and responsibilities.

  • Meets programmatic partners event needs through sound consultation and advisory resources that are sustainable and scalable depending on programmatic needs. Consults on events best practices and provides guidance and recommendations on event management to other Schools and divisions of the University as requested.

  • Plans and implements calendar of team meetings and agendas to advance departmental and business partner goals and objectives.

  • Assesses event programming workload with available resources and work with Director to prioritize resources.

  • Lead integration of emerging technologies and approaches to events in virtual, in-person, and hybrid events.

  • Leverages technology and AA&D systems of record—Workfront, Harvard CRM (Advance), and other systems—to uphold operational excellence while ensuring team adherence to best practices and procedures. Communicates with staff about office and University issues impacting the team and operations.

  • Establishes processes that will ensure maximum effectiveness, clearly defined goals, objectives, and metrics by which to measure success.

Alumni Affairs and Development (AA&D) comprises the University Development Office (UDO), Faculty of Arts and Sciences (FAS) Development, AA&D Resources, and the Harvard Alumni Association (HAA). There is a unique relationship between the University and the FAS fundraising operations, resulting from a long history in which University fundraising ultimately grew out of College fundraising.

AA&D Resources:

AA&D Resources encompasses teams that support all units across AA&D plus all schools and units across the University. AA&D Resources includes Technology and Support Services, Business Process and Operations, Alumni and Development Services (ADS), Administration and Finance, Events, Communications Creative Services, Research and Prospect Management, Human Resources, and the AA&D Talent Program.

Department Overview:

As part of the Alumni Affairs and Development (AA&D) Resources Team, the Events Department is responsible for the planning, management, and execution of events across AA&D and, on occasion, the broader Harvard community. This department is responsible for providing customer service to our internal partners and ensuring excellent customer service in support of the mission of AA&D through the management and execution of events that connect our constituents with each other and the University alumni, prospects, donors, and friends. Events include but are not limited to cultivation and recognition events, global events, meetings, and high-profile University-wide events.

Position Summary:

The Managing Director is a full-time exempt role that will lead and manage the AA&D Events department. Serving as both a manager and executor, the Managing Director will lead a high-performing service team through shifting priorities in a large and complex organization while simultaneously maintaining their own small portfolio of high-profile events. This position is responsible for aligning innovative event support services with the goals and objectives of the Faculty of Arts and Sciences (FAS) Development Office, Harvard Alumni Association (HAA), the University Development Office (UDO), and the Office of the Vice President for AA&D. It is expected this position will draw upon a firm understanding of event strategy and execution, departmental management, resource management, account management, customer service, problem-solving, and creativity to lead successfully.
