Additional Qualifications and Skills:
Experience supporting a large experimental research lab is strongly preferred. Strong diplomacy, problem solving skills, attention to detail, accuracy, follow-through, and dependability. Receptive to others' ideas and strong interest in fostering a welcoming, inclusive team environment, while developing leadership skills. Excellent time-management and organizational skills. Ability to prioritize work and be effective in a fast-paced environment. Must be able to work with interruptions, adapt to change, and respond quickly to last minute requests and changes to calendars, schedules and/or travel. Ability to work independently with minimal supervision, make appropriate adjustments to work flow and demonstrate initiative. College degree preferred.

Must be able to work Monday through Friday, 35 hours/week. Some events may require a schedule adjustment and/or additional work hours. Duties and Responsibilities for this position include:
Oversee workload distribution, ensure adequate coverage and plan for future needs
Provide guidance and share best practices for lab support with team members
Serve as team’s principal contact for information and problem solving
Represent Faculty Coordinators on school-wide committees as needed
Communicate updates regarding school-wide policies/procedures
Coordinate team meetings and create agendas
Create and foster a welcome environment for all team members, encouraging the sharing of knowledge and ideas, and participation in team activities
Provide back up for/coordinate with other Team Leads
Keep AD informed of team activities and issues
Assist AD with developing Team Lead meeting agendas and facilitating meetings
Work with Area Coordinators on activities for Faculty Coordinators
Maintain and update Faculty Support Resources Website
Explore Professional Development opportunities for team
Facilitate annual performance process
Onboard new staff
Manage complex calendars for faculty and coordinates scheduling and logistics for meetings, appointments and travel.
Use Harvard financial systems to process financial transactions, such as purchasing supplies and/or equipment, reimbursements, corporate card payments, purchasing card transactions and transactional activities for internal and external vendors.
Manage Postdoc search process using ARIeS
Prepare appointments for incoming lab members, including paperwork for visa information data sheets
Maintain and update biographical information including faculty CVs
May provide course assistance by photocopying lectures, maintaining a course website, tracking course grades and ordering food for semester end presentations
Provide general assistance to lab members and respond to a variety of inquiries from internal and external sources
May assist with planning events, including group retreats, seminars, and conferences hosted by faculty
Keep up to date on and follow SEAS and University policies and procedures
Learn new software and systems as needed
Participate in team meetings, trainings and activities for Faculty Coordinators
May provide back-up for other staff as needed
Accomplish related duties and take on new responsibilities in response to changing office needs

Reporting to the Administrative Director for Academic Operations and Faculty Support at the Harvard John A. Paulson School of Engineering and Applied Sciences (SEAS), the Team Lead for Academic Areas will provide leadership for a group of Faculty Coordinators regarding schedules, work-load, and team activities. The Team Lead will also support Faculty members with complex administrative duties related to their teaching, research, publications and other activities. Takes initiative and proactively communicates with faculty, lab members, staff and supervisor to ensure tasks are completed in a timely manner.
