Job Description

Housing Assignment Specialist

The Housing Assignments Specialist executes all operational aspects of the room assignments process for approximately 7,700 undergraduate students. The primary responsibility is to manage and implement room assignments for the Office of Residential Life, including new student assignments, room selection for upperclassmen, room changes during the academic year, and assisting with roommate concerns.

Under the direction of the Assistant Director for Assignments and Occupancy, the Assignments Specialist educates the campus community on policy and procedures, implementation of the application and selection processes, and assessment of the effectiveness of room selection. The Assignments Specialist tracks occupancy for the fall and spring semesters and manages the housing appeal process and special housing requests from students without guaranteed campus housing.

This position implements the room change process, manages vacancies, and assists with the assignment processes for students returning to campus, as well as assisting with the coordination of facility management and room turnover between semesters. Additionally, this housing assignments specialist manages the lofted-triple room process.

This position is responsible for managing and operating all elements of the StarRez housing system related to assignments, including all undergraduate room assignments, roommate matching, updating bed space count, trouble-shooting problems, assisting with staff training, and maintenance of confidential records.

The Housing Assignments Specialist directly supervises 1 graduate assistant and oversees the student workers within the main residential life office, in the absence of the department Administrative Assistant.

The Housing Assignments Specialist prepares reports as needed on enrollment trends, housing withdrawals, leaves of absence, special interest housing placements, and medical accommodations. In addition, the Housing Assignments Specialist is responsible for the daily management of various form requests including room changes, housing appeals, and cancellations. This position additionally works with students seeking special placement due to medical or psychological disabilities.

This position assists with the marketing, communication, and presentation of the housing assignments processes, residence halls, and housing policies. The Housing Specialist will assist with summer orientation information fairs, summer orientation housing tours, and housing assignments marketing. The Assignments Specialist responds to student and parent inquiries, concerns, and requests for information on housing assignments and placements, including managing a department email account.

Hiring Range: $25.85/hr to $32.31/hr. Pay rate commensurate with relevant experience.

Requirements

  • Bachelor’s degree in related field

  • Previous experience in university housing or residential life is preferred.

  • Experience with customer service and conflict resolution is preferred.

  • Familiarity with software and databases used for tracking and reporting on housing data (Microsoft Office and Google Suite, and StarRez)

  • Demonstrate the awareness, knowledge, and skills required to engage and communicate with people from diverse backgrounds.

  • Ability to work independently and collaboratively with a group.

  • Ability to handle multiple projects while working in a busy office environment.

  • Proficiency in both written and verbal communication skills.
