The Arts & Sciences Service Center is looking for a Fiscal & Grant Administrator who will work as part of a customer-focused dynamic team providing research support to our faculty members. The Morrissey College Service Center supports over 500 faculty members and 100 Principal Investigators across 22 academic departments.
The Fiscal & Grant Administrator will provide administrative and technical guidance and support to faculty seeking outside funding for research. They will be responsible for providing pre-award and post-award support to a diverse population of Principal Investigators. This position will be assigned a group of faculty members with active research labs that submit complicated proposals and require support with an in-depth understanding of the regulations governing their spending. This role includes providing support of both internally and externally funded research projects.
Primary responsibilities:
Work with faculty to develop research grant proposals and manage the submission process.
Coordinate all aspects of grant proposal submission including interpretation of funding requirements, preparation of budgets and budget justifications, and ensuring compliance with policies and procedures.
Serve as a primary liaison between faculty and the Office for Sponsored Programs.
Responsible for the interpretation and communication of institutional and sponsor policies and procedures to ensure compliance.
Maintain current knowledge on NIH / NSF / DOE grant submission deadlines for new awards, progress reports, competing renewals, & re-submissions.
Coordinate requests for JIT and progress reports.
Work closely with Principal Investigators throughout the grant life cycle to maintain fiscal and administrative compliance with sponsor guidelines.
Analyze budgets for correct calculation of salaries, fringe benefits, materials, equipment, subaward costs and indirect costs.
Initiate the budget setup for new and continuing awards.
Work with Principal Investigators to ensure correct allocation of costs, for grants and internal research budgets, to avoid the need for cost transfers.
Initiate and process hiring and payroll extension of research staff, working with Human Resources and other departments as necessary to complete process.
Initiate and process purchase requisitions, payment vouchers and reimbursements, working with Procurement and other departments as necessary to complete processes.
Review appropriateness of budget re-allocations and transactions in accordance with funding source guidelines.
Prepare monthly reports and forecast of internal and external funds available for Principal Investigators to prevent budget deficits.Initiate budget transfers and costs transfers when necessary.
Responsible for timely closeout of expired projects.
Develop and maintain collaborative working relationships with University departments such as Human Resources, Procurement and Accounts Payable.
Maintain timely communication and coordination with involved parties to resolve issues.
Hiring range commensurate with experience:
Senior Level - 5 plus years, $78,120 - $97,650
Level II - 3-5 years, $69,100 - $86,350
Level I- 1-3 years - $$62,650 - $$78,300
Requirements
- Bachelor's degree is required.
*5 plus years experience
- Demonstrated ability to work in a fast paced, team based, deadline oriented environment.
Preferred:
Previous experience in a customer service environment is a plus
Academic experience
Experience using PeopleSoft Financials or a comparable application
Master's degree for Senior Grant Administrator
