Greenfield Community College is located in the beautiful and historic Connecticut River Valley of western Massachusetts, between the foothills of the Berkshire Mountains and the fertile farmland of the Connecticut River watershed. GCC is a public community college serving Franklin and Hampshire Counties, Southern Vermont and Southern New Hampshire. Job Description:

GENERAL STATEMENT OF DUTIES:

Under the direct supervision of the Associate Dean of Workforce Development, the Operations Coordinator will organize and maintain data for non-credit Workforce Training programs, prepare reports for grant applications and grant outcome reporting, assist students, staff and instructors as needed with a variety of issues related to Workforce Training programs.

EXAMPLE OF DUTIES

  • Maintain accurate records for Workforce Development grants and reporting outcomes for grant-funded programs.

  • Oversee outcome tracking for Education and Training Fund awardees including employment outcomes at 30, 60 and 90-day benchmarks.

  • Provide and document wrap-around support services and resource navigation for Workforce Training program participants.

  • Assist with recruitment and enrollment activities including intake interviews to determine best funding source for non-credit learners.

  • Prepare and track student enrollment documents through completion including uploading of vaccination documentation and other health documentation as required

  • Manage non-credit and credit programs in Training Pro (required state database)

  • Manage TOP form applications for GCC students (credit and non-credit)

  • Serving as the SNAP Path to Work Coordinator including case management required in connection to SNAP E&T program activity. Examples of case management include: comprehensive intake assessments; individualized service plans; progress monitoring; and coordination with other service providers when applicable.

  • Gather relevant information from grant partners (ex. for reporting outcomes).

  • Communicate and collaborate effectively with Business Office counterpart to ensure that expenditures are in compliance, documented appropriately, delivered, and paid for before the end of the grant cycle

  • Provide data for budget preparations and monitor grant deadlines for reporting.

  • Maintain database of prospective student inquiries

  • Use GCC's new CRM system to track employer engagement, student outcomes and employment (for grant reporting purposes), and other data points as required

  • Other program coordination duties as needed

  • Provide backup administrative support for Workforce Development/non-credit courses including entering courses for website registration using Banner, MyGCC and WordPress.

  • Coordinate enrollment processes of all self-paying, grant-funded, government or employer funded students. Use Banner to register students for workshops via phone, online, or in person

  • Provide hands-on instructor support including: course material preparation, Moodle course creation and maintenance, class schedules and rosters, providing technology support, and other tasks as needed.

  • Maintain database of prospective student inquiries

  • Provides information about the office and the College to students, prospective students, and instructors, in person, on the telephone, and via email

  • Oversee cross-listing and registration for Blended Courses with frequent correspondence with GCC faculty and administrative staff.

Requirements:

MINIMUM QUALIFICATIONS:

  • Bachelor's degree in Business, Education or related field or substantial work experience in data management.

  • Ability use technology to track and analyze data, produce reports, and design presentations

  • Excellent communication and organizational skills.

  • Ability to work effectively with diverse faculty, staff and training program participants.

  • Understanding of the barriers faced by low income and diverse populations.

  • Experience in a fast-paced environment with multiple competing priorities

  • Ability to prioritize multiple projects, adhere to deadlines and work in an environment with regular interruptions;

  • Ability to exercise discretion and interpret privacy regulations governed by FERPA;

  • Excellent oral and written communication skills and interpersonal skills;

  • Demonstrated ability to work collaboratively and communicate effectively with workforce training participants, instructors and administrators;

PREFERRED QUALIFICATIONS:

  • Prior experience with managing grants budgets and data collection for reporting outcomes.

  • Demonstrated experience in managing outcomes-based programs.

RANK AND SALARY:

Grade 4. Salary range for this pay grade is $52,754 to $75,632. Actual salary will be commensurate with qualifications and experience in accordance with the MCCC collective bargaining agreement provisions and candidates are therefore advised that it is unlikely the offered salary will be at or near the top of the range.

START DATE: February 2023 or ASAP thereafter
