State of Massachusetts Contracted OLA Project Assistant in Malden, Massachusetts

The Department of Elementary and Secondary Education's (DESE) Office of Language Acquisition (OLA) develops and implements policies and initiatives for English learners (ELs) programs throughout the Commonwealth; manages federal and state funds; and provides technical assistance and professional development opportunities to increase the capacity of local educational agencies (LEAs) to serve ELs in grades K through 12.

With the implementation of the Sheltered English Immersion (SEI) Endorsement Course for Career Vocational Technical Educators (CVTEs), OLA needs a project assistant to help with logistics for 15 – 22.5 hours per week.

The OLA Project Assistant will:

  • Provide ongoing administrative support to the OLA team;

  • Draft or assist in drafting day-to-day communications to the field regarding the SEI Endorsement Course for Career Vocational Technical Educators;

  • Assist with SEI Endorsement Course survey evaluation collection process and grade submissions;

  • Assist with SEI Endorsement Course instructor evaluators and instructor evaluation process;

  • Maintain contact information for district SEI Endorsement Course Liaisons;

  • Assist in coordinating any necessary mailings/e-mailings;

  • Update SmartSheet with all approved providers of SEI Endorsement Courses;

  • Assist in coordinating SEI Endorsement Courses with vendors;

  • Assist in approving SEI Endorsement Course schedules;

  • Provide technical assistance to SEI Endorsement Course providers;

  • Assist with collecting SEI Endorsement Course grade files from vendors and submitting SEI Endorsements to ELAR;

  • Provide ongoing customer support to field responding to queries and routing issues to the appropriate personnel;

  • Perform additional duties as required

Preferred Qualifications:

  • Experience managing conference/meeting logistics

This is a part time contracted position (15 – 22.5 hours per week).

The extension of this contracted position is contingent upon funding availability and approval.

Minimum qualifications:

  • 5 years direct experience supporting complex projects

  • Advanced knowledge of Microsoft Outlook, Excel, Smartsheet, and Survey Monkey
