State of Massachusetts Customer Service Representative III, RMV - Citation Payments in Quincy, Massachusetts
Position Summary Responsible for overseeing the daily operations of the CMVI team to ensure efficient workflow, accurate processing of Civil Motor Vehicle Infraction (CMVI) citations, and compliance with established rules, regulations, policies, and procedures. Key duties include monitoring workloads, addressing backlog issues, and adjusting resources to maintain timely and efficient task completion. The role involves applying payments to traffic citations, pre-screening and coding citations, and managing CMVI Hearing Requests and Hearing Filing Fee payments. Processes special handling payments, redirects payments as needed, and resolves payment issues to ensure accurate driving records. Additional responsibilities include verifying citation documents using Optical Character Recognition Software (OCR), ensuring daily batch validation within Kofax, and removing late or release fees as required. Provides support to subordinate staff by delegating tasks, conducting training, and monitoring performance. In the absence of the Supervisor, the CSR III assumes supervisory responsibilities to ensure continuity of operations. The role also involves maintaining positive employee relations by adhering to the Code of Conduct for the Commonwealth of Massachusetts and the National Association of Government Employees Unit A and Unit D Collective Bargaining Agreement. Duties and Responsibilities * * Evaluates daily workloads, identifies potential backlog issues, and adjusts resources as needed to ensure the timely and efficient processing of CMVI team tasks. Provides input on work plans and scheduling to optimize daily operations. Ensures all team operations align with established guidelines. * Performs daily department close-out procedures and submits reports to the Bank. Reconciles and closes team cash drawers as needed, processes deposits, and completes all required paperwork accurately. * Provides guidance and support to subordinate staff, including delegating assignments, conducting training, and monitoring work performance to ensure quality and efficiency. Assumes supervisory responsibilities in the absence of the Supervisor, ensuring seamless operations and continuity. * Applies payments to Civil Motor Vehicle Infraction (CMVI) traffic citations on violator driving history records. Pre-screens, codes, and adds traffic citations and CMVI Hearing Requests to the automated motor vehicle violation file (ATLAS) in accordance with established procedures. * Applies CMVI Hearing Filing Fee payments to traffic citations flagged for hearing requests. Processes all categories of CMVI Hearing Fee payments requiring special handling. * Accepts and applies citation payments received via mail or customer calls. Researches and resolves payment issues escalated by MRB agents, Call Center, and Branch locations. Redirects hearing fee and citation payments as needed to maintain accurate records. * Conducts research to resolve discrepancies, resends hearing requests to courts, and processes rebates to customers as necessary. Ensures violators’ driving history records are complete and accurate. * Completes all tasks required for the removal of late and release fees to ensure the accuracy of violators’ driving history records. * Ensures daily batches are verified and validated by the CMVI team within Kofax. Communicates any timing or accuracy issues to the Supervisor promptly. * Reviews items in work queues to direct payments, process refunds, and correct discrepancies.
