State of Massachusetts Office Support Specialist I - On Grounds Program in Taunton, Massachusetts

The Department of Mental Health (DMH) is seeking an experienced office support professional to serve the needs of a busy residential administrative office. The Office Support Specialist (OSS I) is an integral member of the residential staff who will work closely with the Team Leader, Assistant Team Leader, Residential Supervisors, and clinicians. This individual will assist administrative staff with communication, documentation, and dissemination of information to program staff, residents, families, and other agencies, as needed. The OSS I tracks required documents, and training records of staff as well as collects client data from residential staff and submits reports in a timely manner. This individual also has responsibility for keeping detailed paper and electronic financial records/receipts of accounts for the program and residents served by the program while reviewing, maintaining, processing, and reconciling all transactions. The OSS I answers and triages telephone calls, prepares and mails correspondence, forwards inquiries from the community to the appropriate person, and engages with residents of the program in a professional, respectful, and supportive manner. This individual will be required to operate all standard office machines, computer programs, and perform related work as required by the Team Leader. This individual will assure that client records are filed and secured according to all laws, regulations, and applicable standards assuring confidentiality. _Please Note:_ The selected candidate will work 37.5 hours per week from 8:00 AM-4:00 PM. The days off will be Sunday and Saturday. _Duties and Responsibilities (these duties and responsibilities are not all inclusive):_ · Primary responsibility for keeping records/receipts of Program related expenditures. Reviews, maintains, processes and reconciles all transactions and keeps detailed fiscal account records. · Deposits Program fees from Rep payee and persons served. Keeps detailed accounting of all financial transactions, i.e. deposits and withdrawals in the Program Account. Reviews, maintains, processes and reconciles all transactions. · Assists in providing Budget Reports on a semi-annual basis, or as needed. · Maintains the Area On-Grounds Residential Program record room according to policies and procedures by determining the proper filing of medical records folders. · Responds to requests for confidential information from outside agencies; i.e., legal and hospitals, in order to ensure that information is sent to them in a timely manner. · Performs job-related duties for the Site; such as, typing, filing medical reports, and correspondence to ensure that information is sent to our vendors, DMH and private agencies on a timely basis. · Files incoming medical information in a timely manner in order to ensure that records are up-to-date. · Coordinates submission and files required information from DMH staff on a daily, monthly, quarterly, and yearly basis. · Assists Staff with any practical problems achieving compliance with Mandatory Trainings. · Picks up, sorts and delivers mail. · Receives rental income, records rental income and makes deposits. Informs Administration of client compliance with Program Fee payment. · Orders office supplies, as requested. · Closes accounts appropriately and in a timely manner when Person is discharged. · Pays bills upon receipt and keeps record of all payments made. · Types correspondence as assigned by supervisor. · Creates Reports as requested by Program Administration. _Required Qualifications:_ * Knowledge of the principles and practices of medical records management. * Knowledge of the types and applications of medical records filing systems. * Knowledge of the terminology, coding, symbols and standards abbreviations used in medical records work. * Ability to gather information by examining records and documents. * Ability to gather information through questioning individuals. * Ability to work accurately with names, numbers, codes and/or symbols. * Ability to understand, apply, and explains the policies, procedures, guidelines, etc. governing assigned unit activities. * Ability to deal tactfully with others. * Ability to establish and maintain harmonious working relationships with others. * Ability to give oral and written instructions in a precise, understandable manner. * Ability to write clearly and concisely. * Ability to prepare general reports. * Ability to maintain accurate records. * Ability to follow written and oral instructions _Special Requirements:_ * Possession of a current and valid class D Motor Vehicle Operator’s license required for this function. _Preferred Qualifications:_* * * Experience in and/or knowledge of human services. * Experience with DMH regulations and program procedures. _ About the On Grounds Program:_ On Grounds Program is part of the Taunton/Attleboro Site that transitions clients from an inpatient setting to a more independent community living setting. The Program is made up of seven group living environments which are staffed 24 hours a day/7 day a week. Office Support Specialist I: Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in administrative work experience or (B) any equivalent combination of the required experience and the substitutions below: Substitutions: I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience. II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience. Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed. Educational substitutions will only be permitted for a maximum of two years of the required experience. Salary placement is determined by a combination of factors, including the candidate’s years of directly related experience and education, and alignment with our internal compensation structure as set forth by the Human Resources Division’s Hiring Guidelines.
