Summary

The Starfish Coordinator is a 15-hour-per-week, part-time staff position within the Office of Academic Advising, supporting the Director of Academic Advising and the division of Student Affairs. The Starfish Coordinator will support everyday operations of the office through the management of the Starfish platform, which is the University’s online retention tool for the undergraduate, on-ground graduate, and online graduate student populations, and will follow all policies and procedures outlined by the Director and the Department.

 

Essential Functions

  • Serve as the main contact person to troubleshoot any issues that individuals are having with the Starfish platform.

  • Create Starfish training documents and videos to be shared with different campus constituents, including advisors, faculty, students, and other staff members at the University.

  • Use Colleague database to delegate appropriate permissions to different staff members.

  • Communicate with ITS and Starfish support to help solve any back-end issues that prevent access to the platform.

  • Update and maintain services that run appointments using the Starfish platform, including the Writing Center, the Office of Academic Advising, and any other offices that want to take advantage of the interface to connect with students and share their resources.

  • Add additional “tracking items” in Starfish to meet the needs of different departments on campus.

  • Meet with ITS and the Starfish Consultant to implement new initiatives, including new features added to the platform.

  • Host live training sessions for different campus constituents at critical points in the semester, including right before the start of the semester, midterms, advising week, and finals week.

  • Reduce clutter on the platform by clearing old tracking items consistently throughout and at the conclusion of the fall, spring, and summer semesters.

  • Gather data using the reporting tools built into the Starfish Program and Macros developed for Microsoft Excel.

  • Keep current with the latest releases and upgrades to Starfish.

  • Attend Starfish Northeast Users Group (SNUG) meetings throughout the year.

  • Engage in professional development opportunities as they apply to Starfish.

Qualifications

Requirements

  • Bachelor’s degree required.

  • Demonstrated experience or interest in helping students in higher education.

  • Ability to uphold the University’s commitment to inclusive excellence in a diverse educational community.

  • Proficient in Microsoft Word and PowerPoint; expert in Microsoft Excel.

  • Experience using Starfish, Colleague, and Moodle a plus.

  • Proven experience in organizing and managing projects and people.

  • Ability to manage time effectively while balancing multiple tasks and maintaining meticulous attention to detail. Ability to complete all required tasks in a timely fashion and meet deadlines.

  • Excellent written and oral communication skills.

  • Ability to work with a diverse population of colleagues and students.

  • A positive attitude, flexibility, and open-mindedness.

  • Demonstrated problem-solving skills.

  • Ability to work autonomously and as a team member.

  • Ability to maintain strict confidentiality and other ethical standards, especially as outlined by federal and state regulations, and the procedures, policies, and rules for the Department and Regis College.

     

    Working Conditions/Physical Demands

  • Normal office environment, not subject to extreme variations of temperature, noise, odors, etc.

  • Must be able to operate basic computer equipment, like using a mouse, keyboard, and webcam.

  • May involve occasional attendance at evening or weekend meetings.
